A sterile storage room is a handling problem before it is a storage problem. Packaged items arrive in a particular state, they have to be put away, found and picked without being handled more than necessary, and the room has to be cleanable around them. Most of the layout decisions in sterile storage room planning follow from those sentences. This guide sets out the considerations we work through with hospitals, as questions to review with your own teams — not as requirements. Start with flow, not with shelving

Draw the path an item takes from the moment it becomes a finished, packaged item to the moment it leaves for a case. The storage goes wherever that path needs it.

In most sterile processing departments the path has four points: where items come out of the process, where they cool and are checked, where they are stored, and where they are picked and staged for a case cart. If your storage sits somewhere that forces items to travel back on themselves, no amount of shelving will fix it. Moving the storage is cheaper than working around it for the next fifteen years.

Two flows that are easy to forget: where wrap, pouches and consumables for the process itself are stored (see sterile wrap carts), and where soiled linen and returns are handled (see hamper and linen carts). Both tend to be designed last and both end up in the aisle.

Three handling decisions that shape the room

1. How many times is an item touched? Every extra handling step is an opportunity for damage, and it is also labour. Storage that lets staff pick the item they want without moving three others removes handling from every single pick, every day.

2. Does it get stacked? If packaged items are stacked, the shelf spacing and the level heights have to suit the stack, and the bottom item carries the weight. If your own team has decided items are not stacked, that decision multiplies the shelf area you need — and it is a decision for them, not for us.

3. Is it stored in the tray it travels in? Storing items in the basket or tray they are picked into removes a handling step, and it changes the shelf depth and level height you need.

Ask each of those three questions of the people who do the work, not of the drawing. The answers are usually specific and consistent, and they settle most of the shelf-type argument in ten minutes.

Shelving, cabinets or carts?

Material choice follows the cleaning method for the room, and stainless components are the usual answer where the room or the shelf itself is cleaned aggressively or gets wet. Capacity: count sets, not square feet

Sterile storage capacity is best counted in the units the department actually talks about: sets, trays, pouched items and case-cart loads. Convert afterwards.

Take the tray footprint and the level height each tray needs, work out how many trays fit per shelf and per unit, and divide the number of sets you have to hold by that. Do it for the largest trays first — they set the level spacing for the whole unit, and once the spacing is fixed the smaller items fit around it.

Then add the peak. Departments hold more between a bank holiday and a heavy elective list than they do on an average Tuesday, and a room sized for the average is full on the day it matters.

Questions about the room itself

These are the ones that come back to bite a storage layout after installation. Every one of them is a question for your facilities and infection prevention leads; we simply need the answers before we quote.

  • How is the room cleaned, with what, and how often — floors, walls and the storage itself?
  • Does anything need to lift out for cleaning, and who lifts it?
  • Is the floor wet at any point, and is there a drain?
  • What is above the storage: sprinkler heads, lighting, ducts, and what clearance your team requires below them.
  • Where does air enter and leave, and does the storage layout block it?
  • What temperature and humidity range is the room held at, and who monitors it?
  • Which surfaces have to be non-porous, in your team’s view?
  • How wide is the door the case carts come through, and what is the tightest turn on their route?
  • Where do full case carts wait, and does that space exist today?

We ask for these in writing at the start of a project, because they change the specification rather than the layout, and changing a specification after delivery is expensive.

Case cart staging is part of the storage plan

The most common thing missing from a sterile storage layout is somewhere for full case carts to stand. They are large, they arrive in batches before a list, and if the plan does not give them a place they take the aisle — which is the one piece of floor the layout cannot spare.

Count the carts for your busiest list, measure one, and mark the floor area on the drawing before you place a single shelving run. Do the same for the empty carts coming back, and for soiled returns, which need a route that does not cross the picked ones.

Where should the storage sit in an SPD layout?
Wherever it keeps items moving forwards along the path from process to picking without doubling back. Draw the path first, then place the storage on it. If the storage cannot go there, that is worth escalating before the shelving is specified.
Open shelving or enclosed cabinets for sterile storage?
Both are used, and the decision belongs to your own team. Open shelving gives visibility, airflow and easy cleaning around the items; cabinets shield the contents from the room and can be locked. Tell us which your team wants and we specify and quote it.
How do we work out how many sets we can store?
Count in trays rather than square feet: tray footprint, level height needed by the largest tray, trays per shelf, shelves per unit. Size for your peak holding, not the average. The supply room sizing guide shows the full arithmetic.
Can we use high-density mobile shelving in sterile storage?
It is used where floor area is genuinely short. The questions to settle first are how often each run is accessed, whether the floor is flat enough, and how the system is cleaned. The space savings guide explains the trade-offs honestly, including when it does not pay.
What material should the shelving be?

Do you plan the case cart staging area too?
Yes, and we ask about it early because it is the space most often missing from a layout. Count the carts on your busiest list and we will mark the floor area before placing shelving.
Who signs off the final layout?
Your team does, on a layout we have reviewed and quoted. Final layouts and specifications require Labs USA review, and dimensions are field-verified before installation.
