Medical carts are the last fifty feet of a hospital supply chain. What a medical cart has to get right

A cart is not a small store room on wheels. It is a picking sequence, a par list and a travel route, and it fails when any one of those three is wrong.

Most cart problems we are asked to fix have little to do with the cart. The trays are the wrong depth for the packaging, so tall items lie flat and hide the layer underneath. The cart is too deep to turn in the corridor it lives in. The restocking route runs opposite to the picking order. Or the cart is parked where it blocks the only clear path in the room — a layout decision, not a cart one.

So we start with the room and the route: door widths, turning circles, the clearances you have to keep, the parking spot, whether the cart is restocked in place or exchanged, and whether it needs to be locked when unattended. Only then does the family and the size get chosen. That order matters, because a cart is the one piece of storage that has to fit somewhere it is not standing.

Three questions decide most specifications. Does the content need to be visible or hidden? Does it need to be secured? And is it picked from the top down, or off the face? Finish, casters, tops and handles follow from those answers and from the environment the cart lives in.

The decisions that actually change the quote

  • Depth before length. A 24-inch-deep cart holds far more than an 18, and is the one that will not turn in a tight corridor. Measure the tightest turn on the route, not the widest corridor.
  • Open, enclosed or secured. Wire enclosure panels close an open cart later; mesh doors and locks make it a security cart. Panels are published for 14–24 inch depths and 63, 74 and 86 inch heights.
  • Tray and drawer depth, not tray count. Match the depth to the tallest carton in that location; mixing depths in one cart keeps items visible.
  • Casters and brakes. Five-inch swivel casters with two brakes are the published standard here; stem and plate casters behave differently over thresholds and lift mats.
  • Finish to environment. Chrome for dry storage; epoxy and all-polymer where the manufacturer rates the product for wet or cooler conditions; stainless where cleaning chemistry is aggressive.
  • Stationary or mobile is not permanent. Dolly frames and mobile kits convert stationary shelving units into transport carts.

Modular tray carts: one tray format, four enclosures

The modular tray cart is the format most hospitals mean by “supply cart”. One frame takes trays and baskets in a common modular footprint, and the same trays drop into stationary cabinets and wall units — so a tray can be picked in central supply and delivered to the point of use without being repacked.

Four enclosure choices cover almost every room. Roll-top tambour carts suit corridors where a swinging door has nowhere to go. Glass-door carts keep contents visible while closed. Solid-door carts suit spaces used by patients and visitors. Open carts pick fastest and are used in restricted rooms such as an OR core.

Trays are stored horizontally, tilt as they are pulled out so the contents present themselves, and can be subdivided with clip-in dividers. As published for the line Labs USA has supplied, a full-height cart of roughly 72 inches carries up to eighteen 2-inch trays, eleven 4-inch trays or seven 8-inch trays.

Details worth specifying up front

  • Tray depths per location — mixing 2, 4 and 8 inch trays in one cart is normal
  • Clip-in dividers and end stops where small items would otherwise migrate
  • Telescopic slides for heavy items, side tilt panels for dense tray counts, or both in one cart
  • A removable, washable working top with a raised gallery and a front spill lip
  • Colour-coded label handles so a cart can be identified from the far end of a corridor
  • A wrap-around bumper and an extended caster pattern where carts travel loaded

Cart-to-room rules of thumb we apply

Give every cart a defined parking position on the layout, and check it does not sit in the clear path of the room. Keep the cart standard for a floor small — two sizes beats five, because staff learn one pattern. Where carts are exchanged rather than restocked in place, plan a physical home for the spare. Medical cart questions we get asked

What is the difference between a supply cart, a utility cart and a procedure cart?
Mostly the insert and the enclosure, not the frame. A supply cart is set up with trays or drawers against a par list for a room. A utility cart is open shelves for transport and turnover work. A procedure cart is a supply cart configured to one procedure’s tray list, usually with a working top. The same base platform can become any of the three.
How do we work out how many carts we need?
From the par list and the restock cycle, not from the room: count the locations that must be within reach at the point of use, decide whether carts are restocked in place or exchanged, and add the spare an exchange model needs.
Can carts share trays with our fixed storage?
That is the main reason to standardise on a modular tray format. Where trays and baskets are common between carts, stationary cabinets and wall units, stock can be picked once and delivered without repacking. We confirm compatibility from the markings on your existing units before quoting.
Which cart sizes will fit our corridors?
Measure the tightest turn rather than the widest corridor, and check door openings and lift depths on the actual route. An 18-inch-deep cart turns where a 24-inch-deep cart will not, but length matters just as much on a turn.
Do you supply carts that lock?
Yes. Enclosure panels close an open cart, and mesh panels with doors and locks make it a security cart. What level of security is appropriate for a given item is your facility’s decision, and we specify to it.
Can we add doors or panels to carts we already own?
Often yes — enclosure panels, dolly frames, push handles, hang bars and drawer slides are published as accessories for standard shelving and cart platforms. We confirm compatibility from the existing unit’s markings first, and we will say so when a line has been discontinued rather than implying a match.
How long do carts take to arrive?
It depends on family, finish and quantity: stock finishes in common sizes move quickly, stainless and large tray-cart orders take longer. We call out the lead time per family on the quote so you can phase around the longest item.
