Lab Casework Brand Requirements: Named Brands, “Or Equal,” and Substitutions

A straight answer on what happens when your RFQ, spec, or bid names a specific casework or fume hood brand — before you commit to a quote.

Lab Casework Brand Requirements: Named Brands,

When a Spec Names a Brand

Architect and engineer specifications, GC bid packages, and government RFQs often name a specific laboratory casework or fume hood brand by manufacturer and model. Before quoting, it matters which of three situations you’re in:

1. Brand named, substitutions explicitly disallowed

Some purchase requests state directly that no substitutions of the named brand will be accepted. In that case the quote has to be built on that exact manufacturer’s product line, at that manufacturer’s lead time and pricing — there is no room to propose an alternate to save cost or schedule.

2. Brand named as a basis of design, “or equal” allowed

Many specs name a brand as a reference standard but include an “or equal” or “approved equal” clause. This allows an alternate product that matches the named brand’s material, dimensions, load rating, chemical resistance and finish, typically subject to written approval from the architect or engineer of record before the bid is awarded.

3. No brand named

When the spec describes performance requirements (chemical resistance, load capacity, sizing) without naming a manufacturer, we can recommend from our full casework and fume hood line based on your application.

How Labs USA Handles This

Tell us the brand named in your spec or RFQ and whether substitutions are allowed when you request a quote. We will tell you directly whether we carry that manufacturer, what the lead time looks like, and — if an “or equal” clause applies — whether a comparable product from our line is worth submitting for approval, with the cut sheets and spec comparison your GC or architect needs to review it.

See our lab casework and laboratory fume hood pages for the full product lines we carry directly.

Frequently Asked Questions

Does Labs USA carry the exact brand named in my RFQ or spec?
Often, yes — Labs USA works with multiple laboratory casework and fume hood manufacturers, so tell us the specified brand and model when you request a quote and we will confirm whether we carry it directly.
What if the spec says ‘no substitutions’?
A hard no-substitution clause means the named brand must be quoted as written. We will tell you plainly whether we can source that exact brand and lead time before you commit, rather than after.
What does ‘or equal’ actually mean on a bid?
An ‘or equal’ clause allows an alternate product that matches the specified brand’s material, dimensions, chemical resistance and performance ratings, usually subject to the architect or engineer’s written approval before bid award. We can help document an equal submittal with cut sheets and spec comparisons.
How fast can I get a straight answer on brand availability?
Call (801) 855-8560 or send the spec section and quote number and we will tell you the same day whether the named brand is available, what the lead time looks like, and whether an approved equal is worth proposing.
